Connected access for your entire talent ecosystem with the Vendor Portal

At Agileday, people have always been at the heart of operations, from employees to freelancers, and now that extends to subcontractor vendors and their consultants. With the new Vendor Portal, professional services firms can onboard and manage vendors and their consultants to scale talent quickly. Everything connects seamlessly into Agileday’s staffing processes, time reporting, and project financials, with built-in visibility and privacy controls.

Across teams and regions, Agileday customers have been voicing the same challenge: “Our vendors bring entire consultant teams. How do we make them part of our operational workflows?”

That question inspired the Vendor Portal extension. Launched in October 2025, it expands Agileday’s Professional Services Automation (PSA) platform beyond employees and freelancers, making vendor talent fully operational inside Agileday.

What the Vendor Portal unlocks for Agileday customers

1. Scaling the talent pool with speed

Professional services firms rarely scale on employees alone. Delivery depends on an extended ecosystem of freelancers, specialists, subcontractor vendors, and partner firms. Yet vendor collaboration has historically lived in spreadsheets, inboxes or disconnected systems.

“Consulting firms rarely scale with just their own employees,” says Mikko Virtanen, Co-founder and Co-CEO. “They scale by building networks of trusted vendors." ... "Fast, progressive firms want the same pace with their vendor partners that they expect internally, fully connected to their operations."

He adds, “In this business, the firm that can present the right CVs or project team first has the advantage, and we want Agileday customers to have that edge.”

The Vendor Portal centralizes vendor activity, allowing professional services firms (the contracting firm) to expand their talent pool without slowing down.

2. Vendor autonomy and firm-level accuracy

Before the Vendor Portal, vendors relied on the contracting firm to maintain their consultants’ profiles, CVs, and availability - delaying operations and creating data gaps.

With the Vendor Portal, vendors now manage their own consultants while contracting firms retain full visibility into vendor consultants’ extended skills, allocations, forecasting, and time reporting.

“We wanted to strike the right balance,” explains Jaakko Hartikainen, Co-founder and Co-CEO. “Vendors get autonomy to manage their consultants. And Agileday customers get more accurate data, more visibility and less admin. Everyone wins.”

Better autonomy for vendors means better accuracy and response time for contracting firms.

3. One consistent experience for everyone

At Agileday, we believe all contributors should have the same seamless experience, whether they are employees, freelancers or vendor consultants.

When everyone works through the same workflows, the platform can surface one coherent view of staffing, availability, and delivery, giving contracting firms the clarity they need to operate at speed.

By extending Agileday to vendors, the platform delivers consistent workflows, aligned staffing and planning processes, connected time reporting, and one operational lens for everyone.

What the Vendor Portal enables today

Agileday customers (the contracting firm) can:

  • Onboard and manage vendors and assign vendor managers
  • Filter and distinguish vendor consultants from employees and freelancers
  • Control vendor visibility of role openings with granular options:
    • Hidden by default
    • Visible to all vendors
    • Visible only to selected vendors

Vendor managers can:

  • Create and manage their own consultants:
    • Set availability
    • Manage location (city and country)
    • Maintain profiles, skills, certifications and CVs
  • Disable outdated consultants
  • Discover new role openings, filter by skills and express consultant interest
  • Track allocations
  • Manage time reporting

Vendor consultants can:

  • Manage their profile, CV, availability, role opening interest, and time reporting

What’s next: Reporting and structured workflows

The Vendor Portal is only the beginning for vendor collaboration. On the roadmap:

For Agileday customers (the contracting firm):

  • Vendor analytics for visibility into availability, performance and reliance on vendors
  • Vendor ratings to help prioritize vendors during staffing

For consultants:

  • A master consultant profile for seamless profile sharing across client organizations

Why a connected talent ecosystem matters now

Working with vendors is part of the growth journey for nearly every professional services firm, but the workflows around them rarely match the speed firms need. As delivery models expand across employees, freelancers and subcontractor vendors, fragmented operations slow teams down and create uncertainty.

The Vendor Portal brings every contributor into one connected environment, giving contracting firms real-time visibility into their extended workforce - one operational ecosystem where people and projects move together, helping firms mobilize faster.

Altogether, the Vendor Portal makes working with vendors a lot smoother for contracting firms by:

  • Making vendors and their consultants an integrated part of Agileday
  • Giving vendors a stake in managing their own talent
  • Reducing admin overhead while improving data accuracy
  • Extending AI-powered workflows to include vendor talent in staffing, reporting and forecasting

As Mikko puts it:

“When you work with vendors, it is all about speed and the ability to execute. That requires connected operations, and that is exactly what the Vendor Portal delivers.”
