Hellon connects operations across London, Helsinki, and Oulu with Agileday

Hellon, one of Finland's most respected innovation consultancies, is running Agileday to connect people, projects, talent, and financial operations across its strategy, design, and technology consulting business.

With studios in Helsinki, Oulu, and London, Hellon combines strategy, design, technology, and AI expertise to help organizations create new growth opportunities, develop digital services, and deliver meaningful business transformation. The company is widely recognised for its award-winning work and has built a strong reputation across both Finland and the UK.

The decision was driven by Hellon’s ambition to create a more unified view of the business across its different business units and establish a shared operational platform to support future growth.

Building one view of the business

As Hellon continued to grow, the company faced a challenge familiar to many consulting businesses. Different teams were operating with different systems, data sources, and processes, making it difficult to maintain a unified view of people, projects, skills, and financial performance across the wider organization.

The challenge was made more complex by the fact that different parts of the business operated using different commercial models. One side of the organization primarily delivered fixed-price projects, while the other largely operated through time-and-material engagements.

Hellon wanted a platform that could support both approaches while bringing together operational data into a single source of truth.

“We had several different systems and processes in place, which were not easily building an overall and holistic picture of how our business was running,” said Janne Tuomikoski, Managing Director of Hellon Technology.

“We wanted a more unified view across our business units and better visibility into our people, projects, skills, and financial performance, while supporting both fixed-price and time-and-material business models within one platform. Agileday gives us a shared operational foundation that helps us run the business with greater transparency, consistency, and confidence.”

Replacing fragmented systems with a connected operating platform

Prior to Agileday, Hellon relied on multiple systems supporting different parts of the business, including project operations, HR, time management, talent information, and financial workflows.

As the organization evolved, leadership saw an opportunity to consolidate these processes into a single platform that could provide visibility across the full consulting lifecycle.

Today, Agileday serves as the operational hub connecting:

Sales opportunities from HubSpot directly into staffing and delivery planning, helping teams prepare for future demand and allocate the right expertise earlier.

People, skills, availability, and project staffing across Helsinki, Oulu, and London, giving visibility into capabilities across the organization.

Fixed-price and time-and-material project operations within a single platform, supporting both business models across the business.

Project financials, forecasting, and operational reporting, giving a clearer view of performance across projects, teams, and business units.

Billing and invoicing management, helping to ensure project activity, consultant time, and commercial data flow more efficiently into downstream financial processes.

Consultant skills, talent profiles, and CV management, reducing manual administration and making expertise easier to surface and sell.

HR operations and employee data, replacing HR systems with a single source of truth.

Freelancer profiles, time reporting, staffing, and invoicing, allowing external specialists to participate in the same workflows as internal teams.

Recruitment candidates and future talent pipelines, helping Hellon identify expertise and project opportunities before new hires join the business.

By bringing these capabilities together, Hellon has reduced manual processes, improved transparency across teams, and created a shared view of operations across Helsinki, Oulu, and London.

Supporting multidisciplinary teams across locations

Hellon's projects often bring together strategists, designers, developers, AI specialists, and consultants from different locations.

As client work increasingly spans offices and disciplines, having visibility into skills, availability, and future demand has become increasingly important.

Agileday enables Hellon to identify the right people for opportunities based on skills, availability, and expertise, regardless of location, while supporting more effective staffing and resource allocation decisions across the business.

The platform also provides visibility into freelancers, external specialists, and future recruitment candidates, helping the company build project teams more efficiently while reducing administrative effort.

More than a software implementation

For Hellon, the implementation was not simply about replacing systems.

The onboarding process also provided an opportunity to evaluate and refine internal processes as Hellon continued building a more connected way of operating across the business. As systems, data, and workflows were consolidated, the project became a chance to review how the business operated and identify opportunities to create greater consistency across teams.

Throughout the implementation, Hellon was able to align workflows, integrate systems, and ensure employees across the organization were equipped to get value from the platform.

"I have been working in HR for almost 15 years and have been onboarded for different kinds of HR systems and similar platforms," said Maarit Kettunen, Chief People Officer at Hellon. "

One thing I said after we finished the active onboarding phase was that I felt we were really heard as a customer. The support we got was huge. We had weekly meetings, an active Slack channel, training for employees, project managers and sales teams, and basically within minutes we could get help when we needed it. I've never had that same kind of support in a similar situation."

Built for the realities of consulting

Another factor in Hellon's decision was Agileday's focus on professional services businesses in the technology sector.

Unlike generic platforms designed to serve many industries, Agileday was built specifically for consulting firms and technology services companies, connecting staffing, projects, financials, talent, and people operations in one environment.

The platform's ongoing development roadmap, including AI-powered capabilities and consulting-specific workflows, aligned closely with Hellon's long-term vision for operational excellence and growth.

"Hellon is one of the most respected innovation and digital consulting brands in Finland," said Jani Folland, US Lead and Partner at Agileday.

"What stood out to us was their ambition to connect strategy, design, technology, and people operations into one operating model. As consulting firms increasingly build multidisciplinary teams across locations, having visibility into skills, staffing, project performance, and finances becomes a competitive advantage. We're excited to support Hellon as they continue growing across Finland, the UK, and beyond."
